Swan now keeps everything it knows in one Brain your team can open. The Brain holds two things: what Swan learns about your market, and what your company knows. Your accounts, contacts and prospects are records in the Brain. Your value proposition, your playbooks and your skills are files next to them. Swan reads the Brain before every run and writes back what it learns. You can read, edit and search the same Brain, and you can see who changed what, and when.
Every new workspace has run on the new Swan since October 12, 2026. We are moving existing workspaces one at a time. When yours moves, Swan messages you in Slack and offers to review your setup with you. Reply go in that thread to start.
If you used Swan before
Outreach, Desk tasks and approvals, chat in Slack, WhatsApp and connected AI tools, research, prospecting, enrichment and your integrations work as before. These things change:
Knowledge Base pages are now files. Your value proposition, your competition and each ICP segment are files in the Brain. Edit the files to change what Swan knows.
Triggers are now automations. Your triggers are all there, under Automations.
Some pages moved. Sign-in opens a chat, and Desk shows a badge with your open tasks. Accounts are in Brain, under Records. Your chat history is on Home, under Recent chats.
Some old data does not move. Notes Swan kept on contacts and your old company lists stay in the old version. Ask Swan to rebuild a list you still need.
Automations cannot change other automations. Ask Swan in chat to make those changes.
Saved prompts may need an update. Saved prompts, MCP clients and workflows that name old Swan tool names or skill IDs can stop working. Review them before your workspace moves.
The Brain
Your market and your company in one place. Records hold the facts about your market: every account, contact and prospect, with its fields. Files hold what your company knows and what Swan wrote down. Swan uses both in every run.
Accounts and contacts lists. Both have table and board views, saved views and filters, and CSV import and export.
Ask across all your records. Swan answers questions such as “which accounts are in evaluation with no reply in 30 days?” from all your records in one step.
Track your own objects. Ask Swan to track deals, partners, events or territories, each with its own fields.
One company page. Swan keeps the facts every run needs on one page: who you sell to, how you sell, your current priority and your tools. You can edit it at any time.
Your knowledge as files. Your value proposition, your competition and each ICP segment are files. Every account and contact has a memory file of what Swan learned about it. Your playbooks, call notes and decks sit next to them, whether you upload them or send them in the web chat or WhatsApp.
A history of every change
A ledger for every record. Every change to a record is saved in a ledger: the field, the old and new value, when it changed and who changed it. Each change also shows where it came from and which Swan run made it. When an account moves to a new stage, you can see why.
A log of every change in the Brain. Recent changes shows each edit to the Brain and who made it, a teammate or Swan. You can compare earlier versions of a memory file and restore one. A skill is a folder with its instructions, reference files, templates and scripts, and you can compare every version of it.
You stay in control. Every change traces back to who made it, what changed and when. Check what Swan did, and correct it when it is wrong.
Search
Find anything by meaning. Swan searches your memory, files and record folders in one pass. It reads PDFs (scanned ones too), Word, Excel, PowerPoint and images. You can limit a search to a set of records, for example “only accounts with more than 3,000 employees”. Each answer names the files Swan used, and you can open them next to the chat.
Apps
Build a tool by describing it. Swan builds a live app on your CRM and integration data, for example a pipeline view, a review queue or a weekly report. Apps use tables, charts, kanban boards, flowcharts, forms, filters and an email composer.
Apps that act. An app can change data through your connected integrations, for example move a deal stage in HubSpot. The email composer sends from your inbox and gives you a few seconds to undo.
Change it, share it. Use Fix with Swan when something breaks, or click part of an app in select mode and say what to change. Keep an app for yourself or share it with your team, and star it to pin it in the sidebar. A public form in an app can start an automation for each submission.
Reports and links
Reports that stay, and links to share them. Swan saves reports as files in the Brain, as branded HTML in your company’s style. Any file or app can get a public link that needs no Swan login, and an app can also get embed code. You approve each link and can revoke it.
A real browser. Swan opens websites in a browser to read them and to check the apps and reports it builds.
Skills
Install skills from the library. Swan can browse the public GTM skill library at gtmskills.com and install a skill into your workspace.
